Construction Project Administrator

Job Description:
Millig Design Build is seeking an experienced Construction Project Administrator in Colorado or Kansas to join our team. The ideal candidate will have strong administrative skills, excellent communication skills, and the ability to work collaboratively with our clients, engineering and construction teams, subcontractors, and suppliers.
This position will assist the construction management team and project financial manager to ensure jurisdictional and program requirements are met and subcontractors are properly onboarded. A successful Construction Project Administrator will facilitate the flow of information regarding all daily construction activities and ensure all project documents are organized and filed correctly.
Anticipated compensation: $62,000K-$90,000k (top range is base salary plus bonuses and profit sharing)
Primary Responsibilities:
Manage onboarding process for subcontractors:
Develop and distribute state- and program-specific subcontractor onboarding packets
Obtain subcontractor Certificates of Insurance
Obtain & track subcontractor payment and performance bonds
Maintain and update Millig’s subcontractor partner database
Understand and assist small subcontractors with government reporting requirements, like certified payroll, etc.
Obtain Builders Risk Insurance
Maintain Millig’s Diverse Business Inclusion Plans and tracking of diverse business participation in Millig projects
Audit project files and clean up most recent file updates
Assemble project closeout documentation (O&Ms, systems manuals, etc.)
Track and manage warranty issues and progress, including:
Maintain familiarity with specs and contract language around warranty
Review response times of subs and document in subcontractor database
Work closely with the Construction Manager and Commissioning Agent to track completion of warranty issues
Create formal documentation and manage the Warrantee Log
Provide additional clerical and administrative support for the Construction Managers as needed
Responsible for Supporting and Assisting with:
Marketing & Site Safety Signage
Building permit applications
Organization and maintenance of all project customer-facing and financial documents in construction management software, including but not limited to:
Master Schedule
Customer progress meeting minutes
Internal project progress updates
Customer progress reports
Change order logs
Project Revenue Forecast
Schedule of values
Change order documentation and tracking
Documentation of project acceptance and turnover to customer
Coordination of Eng & CX progress inspections
Coordination of Owner training with Millig’s Commissioning Agents
Required Qualifications & Skills:
Experience and working knowledge of construction administration tasks and associated documentation
Strong organizational skills and attention to detail; many of the tasks associated with this position are compliance related, meaning that accuracy and timeliness are of paramount importance
Excellent communication and interpersonal skills
Persistent and effective at obtaining required documentation
Strong service mindset
Ability to work independently and as part of a team
Preferred Qualifications & Skills:
Proficient in construction management software, like Procore
Knowledge of construction codes and regulations
Demonstrated ability to develop and improve internal processes
Experience with the Design-Build and Integrated Project Delivery Methods
Basic accounting, bookkeeping, and math skills
Experience in Safety compliance documentation
